6.2 Find information, privacy and terms
Use Ok2Fly's information area for current product, regulatory and support links supplied by the service.
Open useful information
Select Information on the map. Choose an available entry to open its supporting page. The About entry includes the Apple application and operating-rules versions.
The catalogue is supplied by the service, so the available links can change.
Review the terms
Open Terms or Terms of Service from the information or account area. Review them again whenever the service asks for renewed acceptance.
The terms explain the intended remotely piloted aircraft use, advisory nature of the information and the operator's responsibilities.
Review the privacy information
Select Information on the map, then open the available privacy entry.
The authoritative documents are the AvSoft Australia Privacy Policy and Ok2Fly Terms of Service. If this manual differs from an applicable policy, term or law, the authoritative document takes precedence.
Understand information used by Ok2Fly
Depending on the functions used, Ok2Fly information can include:
- account, authentication, contact and subscription information
- aircraft, organisation and planning settings
- saved geometries and operation locations, times and altitude volumes
- authorisation, activation, conflict, alert and acknowledgement events
- operation-plan identifiers, status and history
- device, diagnostic, support and security information
Not every category applies to every user or platform. Use only the information needed for the task and follow the current privacy policy and terms.
Protect account and operational information
When using Ok2Fly:
- Submit another person's personal information only when you have the necessary consent and authority.
- Keep account credentials secure and report suspected unauthorised access through the approved support or privacy process.
- Do not use information from the service to harass another person, invade privacy or for another unlawful purpose.
- Keep free-text descriptions, geometry labels and support material limited to what the aviation service needs.
- Sign out before handing a shared device to another user.
The authoritative privacy policy describes the purposes for which AvSoft Australia uses information and the circumstances in which trusted service providers or legal requirements can involve disclosure. Ok2Fly functions can also exchange operational information with approved aviation-system participants. Do not assume that information is private merely because it is not visible on the current screen.
Minimise operation-plan information
FIMS supports information exchange between approved UAS Service Suppliers, aviation services and airspace users. Ok2Fly can use that exchange for operation planning, authorisation, overlap detection, activation monitoring, alerts and closure.
When creating an operation plan:
- Use a neutral public title or description that supports operational coordination.
- Do not include a person's name, phone number, email address, home address, customer information or sensitive project details unless the service expressly requires and authorises it.
- Limit the geometry to the area needed for the operation.
- Enter accurate times and altitudes without unrelated information.
- Treat screenshots, exported geometry and plan documents as potentially sensitive.
Use fictional identities and locations for training or test plans unless an approved test procedure requires otherwise.
Protect information shown for an overlap
An overlap can show limited operational information supplied by another operation, such as a public title, plan identifier, geometry, timing or other details needed to understand the conflict. Optional information may be absent; do not infer or add account, operator or aircraft-owner details.
Acknowledging an overlap confirms that you reviewed the current information. It does not authorise wider disclosure or use for another purpose.
WARNING
If a conflict display exposes personal information that should not be visible, do not copy or redistribute it. Record only the minimum information needed to report the issue through the approved privacy or security channel.
Understand retention and deletion limits
Removing a plan from the Ok2Fly display or deleting an Ok2Fly account does not necessarily erase FIMS, regulatory, audit, safety, authorisation or payment records. Different participants can have independent legal or operational retention obligations.
Use the contact process in the authoritative Privacy Policy for questions about access, correction, deletion, retention or a privacy concern. Protect credentials, sign out on shared devices and avoid putting unnecessary personal information in geometry labels, screenshots or support requests.
Understand key information-exchange terms
- FIMS — Flight Information Management System, which supports information exchange and services for uncrewed-aircraft operations through approved service participants.
- Personal information — information or an opinion about an identified individual, or an individual who is reasonably identifiable. The applicable policy and Australian privacy law provide the authoritative definition.
- UAS Service Supplier (USS) — an approved service provider that connects operators and applications to FIMS capabilities.
Respond to the important notice
Ok2Fly periodically repeats Important Notice to reinforce that its information is not for air navigation in Australia. Read the notice, dismiss it with the platform's acknowledgement control, and continue to verify official sources for the operation.
