9.2 Import flights
Import logbook entries from a file
CSV imports create new Draft entries. Review and finalise them to complete your flight records and include them in activity reminders.

An AvPlan CSV import adds entries; it does not update existing entries. Importing the same successful rows again can create duplicates. AvPlan CSV durations are in minutes, and photos, videos, tracks and finalisation status are not transferred.
- Open Logbook > Draft, open Entry options (the three-dot menu at the right of the toolbar) and select Import.
- Choose the matching Source: AvPlan CSV, LogTenPro or Command Logbook.
- Set Timezone for the imported records. Select Examples to download a sample in the supported format if you need to prepare a file.
- Select Import CSV, Upload LogTenPro or Upload Command CSV, as shown for your chosen source, and choose the file.
- Check the import result and any Rows not imported. Correct the reported problems and retry only the failed rows.
- Select Close, then open Draft and review the imported entries.
LogTenPro accepts its tab-separated export and CSV; Command Logbook uses CSV. For a different spreadsheet layout, use Custom file and match its columns.
Match columns from your file
Open Logbook > Draft > Entry options > Import, then choose Custom file under Source.
Use Custom file for a UTF-8 CSV, Excel (.xlsx) or OpenDocument (.ods) spreadsheet with different column headings or no headings. Each column can supply one AvPlan field; columns cannot be combined. The configuration applies only to the current import.
- Select Choose file and choose your CSV, XLSX or ODS file. For a spreadsheet, select Worksheet. For a CSV, check Separator; comma, semicolon and tab separators are supported. Check the Source preview before continuing. It opens expanded; select its heading to collapse or expand it.
- Below Source preview, use Headings to choose File has headings or No headings. Set Heading row when applicable and First data row using the original row numbers in the preview.
- Check each suggested AvPlan field against its sample values. Blue column-number tags sit beside the source headings. Rows needing attention are highlighted, with a message beside the field or duration setting to correct. Assign unmatched columns or select Ignore; the warning clears when resolved. Ignore unmatched columns excludes all columns that have no match. A Flight date column is required; other fields may be left out for a draft.
- Dates and times stored as spreadsheet values are recognised automatically. For dates stored as text, set Date format when the day and month could be confused. For each time-duration column, choose Minutes, Decimal hours or Hours:minutes (H:MM) under Source duration format. Check Timezone for local flight times. A timezone column, when mapped and populated, supplies the timezone for that row.
- Select Review entries. Check the converted dates, durations and ignored columns. Preview durations are shown in minutes, rounded to the nearest whole minute.
- Correct the mapping or clear Include for rows you do not want to import. Exclude all invalid rows excludes every row with a validation problem. Included rows must be valid before you can import.
- Select Import with the displayed draft count. Review the imported, failed, unconfirmed and excluded counts, then check the new entries in Draft before finalising them.
For ordinary name columns, choose PIC name and Other pilot name. Each cell supplies one crew member with that role. Names are copied as written, including “Self”; blank cells add no crew member. PIC time is a separate duration field. A PIC heading with name samples suggests PIC name, while numeric time samples suggest PIC time. A Crew heading with name samples suggests Other pilot name. Check the suggestions before importing.
Use Crew (JSON) when the source contains a structured crew list. Choose either this field or the individual pilot name fields for an import.
When a file has separate year, month and day columns as well as a complete date column, map the complete column to Flight date and set the separate parts to Ignore. Every included row still needs a complete date.
Import one worksheet at a time. To import another worksheet, select Choose another file, choose the workbook again and select that worksheet. Formula cells use the results saved in the workbook. Recalculate and save it in Excel or LibreOffice before importing if those results are missing or out of date. Remove password protection before importing a workbook.
Clock-only times use the flight date. For flights crossing midnight, include the date in the take-off and landing timestamps. Local times affected by an ambiguous or missing daylight-saving hour need a timestamp with an explicit UTC offset. Structured fields, including Crew (JSON) and approach details, require the JSON structure used in an AvPlan CSV export.
Successfully imported rows are not submitted again when retrying failed rows in the same import. An Unconfirmed result means AvPlan could not confirm whether the row was saved. Check your drafts before importing that row again. Choose another file, changing the source or closing the dialog resets the configuration. Importing the same file again can create duplicates.
For custom spreadsheet imports, map Aviation type to a column containing GA, RA or Other, and map Ab-initio instruction given and ICUS time to their duration columns. Choose the units used in the source file. Blank aviation types remain unclassified; aircraft registration does not assign a type automatically.
Import an AvPlan track log
Imported AvPlan track logs also create Draft logbook entries. Recorded times, route and aircraft details provide a starting point for your review.
- Open Logbook > Draft, open Entry options (the three-dot menu at the right of the toolbar) and select Import.
- Set Source to Recent Track Logs.
- Select the flight by its date, origin and destination. Use the page controls to find other flights.
- Choose the matching aircraft profile if prompted. Choices include your AvPlan aircraft and previously logged aircraft. Select Skip to keep the track’s recorded aircraft details without choosing a saved profile.
- Review the draft that opens, complete any missing details, then select Save Changes or Save & Finalise.
You can also open a flight in Track Logs and select Logbook to create a draft. Tracks already attached to an entry or draft are hidden from Recent Track Logs.
If the flight is already in your logbook, add its track to the existing entry.
