9.1 Create and manage entries

Find and edit an entry

Web
  1. Open Logbook > Entries or Draft.
  2. Use Search or a column filter to find a flight. Select a sortable column heading to change the order, or Clear Filters to remove the filters.
  3. Select the entry. Review Main Details, Times, Operations and any linked tracks, photos or videos.
  4. If the entry opens for viewing, select Entry actions (the three-dot menu) > Edit. Drafts open for editing.
  5. Select Save Changes to keep the edits. Use Cancel to discard unsaved changes.

Locked entries cannot be edited or deleted. Saving changes to a draft leaves it in Draft until you finalise it.

Add a logbook entry

Web

New manual flight entries start with Day landings set to 1 and Night landings set to 0. Check these counts before saving. The first detailed landing replaces an untouched default landing, including after reopening a saved draft. If that landing occurred at night, the default moves to Night landings. Simulator and ground-training entries do not receive a landing by default.

Logbook uses one day count and one night count. When importing older ordinary and full-stop counts, it keeps the higher count for each period, never their sum. For example, 2 day landings and 1 full-stop day landing become 2 day landings. New AvPlan CSV exports use only the day and night landing columns.

  1. Open Logbook > Draft and select Manual Entry.
  2. In Main Details, enter the Date, Timezone, Operation type and Rules. For a flight, choose an aircraft profile or enter the aircraft details, then complete the departure, destination and crew details.
  3. Set Aviation type to GA, RA or Other if you want to classify this entry. Leave it Unclassified when no type applies. This is separate from Operation type.
  4. Open Times and enter the applicable flight, pilot and training time.
  5. Open Operations to record take-offs, landings and approaches. Add remarks, photos or videos where needed.
  6. Select Save Draft to return to the entry later, or Save & Finalise after checking that it is complete.

In Profile mode, the aircraft list includes your AvPlan aircraft, saved logbook aircraft and aircraft from earlier entries. Choose the registration you flew; an aircraft type with several registrations has a separate choice for each one. You can also review these choices under Logbook > Aircraft.

Use Manual mode for an aircraft that is not listed. Saving an entry with a registration makes those aircraft details available for later flights. For a simulator, include its device or type so it can be distinguished from other simulators.

In Times, enter ICUS (in command under supervision) separately from Command and Dual received. Changing ICUS does not change the other role times or the logged total.

Under Instruction, crew and training, record your teaching time in Instructor. Enter the part spent teaching ab-initio students in Ab-initio instruction given. This time is already included in Instructor time; do not add it again to the logged total. A warning appears if ab-initio time exceeds Instructor time.

The selected Aviation type applies to all times on the entry, including simulator and ground-training entries. Changing or clearing it moves the entry between the corresponding totals without changing its durations. To classify several drafts, select them, select Edit (with the selected count), enable Aviation type, and choose a type. Clearing that enabled selector makes the selected drafts unclassified.

Saved logbook aircraft remain available after removal from your AvPlan aircraft. Selecting an AvPlan aircraft can fill missing saved details, but keeps the details already recorded in your logbook. Editing remarks or times also keeps the flight's recorded aircraft details; change the aircraft fields explicitly when correcting them.

If some aircraft cannot be loaded, select Retry, choose an available saved aircraft or use Manual mode.

Main Details in a manual logbook entry

Review and finalise drafts

Web

Saving an imported or manual draft does not finalise it. Drafts are excluded from activity reminders.

  1. Open Logbook > Draft and select an entry.
  2. Check the date, timezone, aircraft, route, crew, times and operation counts against your flight records. Complete any questions needed by your reminders.
  3. Enter any missing required details. A flight needs an aircraft profile or registration, departure, destination and recorded time; simulator and ground-training entries need the applicable recorded time.
  4. Select Save & Finalise while editing, or Finalise when viewing a saved draft.
  5. Confirm that the entry appears in Entries. If finalisation fails, correct the reported fields and try again.

To finalise several reviewed drafts, select their rows in Draft and use Finalise, which shows the selected count. Check any failures and review the drafts that remain. Finalising an entry does not lock it.

Resolve duplicate entries

Web

Use Find duplicates when the same flight appears more than once, such as after importing a file twice.

WARNING

Saving a merge removes the other entry from the active logbook. Check which record you are keeping and review the resulting values before saving.

  1. Open Logbook > Entries or Draft, then select Entry options > Find duplicates.
  2. Select Review beside a matching pair. Enable Include possible matches to include less certain matches when needed.
  3. Check Record to keep. Select Keep the other record if you want to retain the other entry instead.
  4. Compare Saved, Incoming and After merge. For each difference, keep Suggested or choose Keep saved or Use incoming.
  5. Select Save merge when the result is correct. Use Back to matches or Cancel to leave the review without saving.

Times and counts are not added together. The retained entry keeps its draft or finalised status. To combine separate flights and add their durations, use Add several track logs to an entry.

Delete logbook entries

Web

Locked entries are skipped when deleting a selection.

  1. Open Logbook > Entries or Draft and select the checkboxes for the entries to remove.
  2. Open Entry options (the three-dot menu) and select Delete (n). The count shows the selected entries that can be deleted.
  3. Review the confirmation and select Remove, or Cancel to keep the entries.

Attach historical weather to a landing

Web

Attach a METAR for the time of an individual landing or take-off, and review the recorded runway and estimated wind components.

  1. Open the logbook entry and select Entry actions > Edit if it opens for viewing.
  2. Open Operations and find Take-offs, landings and weather.
  3. Select Add landing. For an attached track, this uses the next unrecorded landing; use Recorded event to choose another. Otherwise, enter Time (UTC) and Aerodrome, or the latitude and longitude for a location without an aerodrome code.
  4. Check the event's date and UTC time, then select Find METAR to load the report and available runways.
  5. Choose the Runway used and review the station, report age and METAR and weather details. If no local report is found, select the Use button labelled with a suitable nearby station when one is offered.
  6. Select Save Changes to attach the weather and confirm the runway. For a new manual entry, select Save Draft. The event changes from METAR found to METAR saved when the report is attached.

Repeat for other landings, or select Add take-off for a departure. Suggest from flight times is available when no individual events have been recorded. Check suggested events against the actual flight. Day/night landing totals update with the events and remain editable.

INFO

Find METAR displays a preview until you save the entry. Reports are matched within the 90 minutes before the event; nearby station choices are limited to 25 NM. A nearby report is an estimate of conditions at the flight location. Historical reports and estimated wind components do not replace the conditions you observed.

To record your own wind observation, enable Use pilot-entered wind and enter the direction, speed, reference, observation time and source. Pilot-entered wind is used for the wind-component calculations. Save the entry when finished.

If weather could not be saved, save any outstanding edits and select Refresh saved weather to try again. When a refresh fails, an existing saved report remains available.

Browse logbook photos

Web
  1. Open Logbook > Photos.
  2. Select Grid (the grid icon) to browse thumbnails, or Map (the map icon) to see photos at their saved locations.
  3. Use Size to adjust the thumbnails or photo markers. In Grid, choose Square or Aspect Ratio to change how photos fit their thumbnails.
  4. Select a thumbnail or photo marker to open the photo and its details.

Photo-library map view and upload controls

The map shows only photos with a saved location. If it shows 0 geotagged photos, switch to Grid to browse photos without locations. Open a photo and select Set Location to add its location, or Adjust Location to correct it.

Upload and attach photos

Web
  1. Open Logbook > Photos and select Upload.
  2. Choose the image files to upload and complete any location prompts shown.
  3. Open a photo from Grid. Under Attach to entry, choose the saved logbook entry and select Attach.
  4. Select Open Entry to review the flight with its attached photo.

Save a new logbook entry as a draft before attaching library photos to it. Check the photos included with an entry before sharing its link.
